QuickBooks has been putting accounting solutions on small business desktops for over a decade now. Each year a new version appears on retail shelves, in various incarnations, each aimed at a different size and complexity of business, together racking up a mighty five million sales worldwide, and counting. Of this year's contenders, QuickBooks 2003 Regular is the entry-level version. So, considering that £135 will probably buy you a couple of hours with a flesh-and-blood accountant, should you take the plunge and go it alone? Just how much accounting power does the package put on your desktop?

Setting up is a cinch. The software "interviews" you, gleaning information about your business--number of employees, pricing structure, customer details and the rest--and making sure nothing is missed. You will now be able to track your cash, bank and credit card accounts; manage accounts receivable and payable; generate and manage invoices; even set up merchant services for online credit card payments from customers.

If you are moving from an earlier QuickBooks you'll find some compelling new features. There is a more sophisticated breakdown of income and expenses; the package is now fully integrated with Microsoft Word and Excel; and there is a facility for backing up and archiving data. Being an avid fan of Quickbooks I had great expectations of this software release, and found that it was just what I had hoped - Intuit have kept all the fantastic features of their earlier software releases, and removed the annoying or manual processes (such as reconciling the VAT return each quarter against back-posted items) - with QB2003 even payroll is simple to follow! For small businesses I find this software to have more functionality and useability than software packages twice the price!

Don't buy this software unless you are willing to regard the purchase price as an annual licence fee to be renewed each year!

I've been using various versions of Quickbooks since 1997 and have recommended it to loads of startup businesses in the past. However recently Intuit seem to have embarked on a policy of escalating "hidden" costs to a ridiculous level.

Examples:

They wrote last month to tell Quickbooks 2002 users that henceforth payroll updates will only be issued for the current release. If you use payroll you will need to buy a new copy of the software each year as well as the payroll sub. Coupled with the miniscule upgrade discounts they offer, this is a massive hike in annual cost of ownership.

Things like the form layout design tool are deliberately poor (still essentially the same as the 1997 version), presumably to force you to use their £££ pre-printed stationary service.

The amount of FAQ or on-line help information on their web-site seems to have been reduced over earlier releases and is now minimal. If you need to do something not covered by the rather slim documentation (e.g. record payment of a UK dividend) then you are forced to pay for their expensive and limited support service to get any answers.

All of the above leaves a bad enough taste that after six years of using Quickbooks I'll be swapping to Sage when my payroll subscription expires!

Granted most accounts software is cumbersome, but this software really has dreadful usability. The manual assumes you a) know all about quickbooks already and b) know all about accounting. Think you can just enter your business expenses? Think again. You have to set up a 'bank account' for them and enter them using 'cheques' - even if you paid by cash/card. Sorry Intuit but using a stupid 'cheque book' looking interface doesn't count for usability, when the very concept is inappropriate.
Add to that the product didnt work for me out of the box. Some scripting errors the support people said were Microsoft's fault made the help system redundant. The online banking refused to find some .ini file, and the payroll update refused to install.

What I should have done was spend the 16 hours trying to get it to work learning how to get excel to do it all instead...
